About the position:
The property administrator is responsible for providing day to day administrative support to the Property Management Team in their assigned residential portfolio.
Key Responsibilities:
Provide support for day-to-day activities for buildings in assigned portfolio
Maintain positive tenant relationships by promptly responding to tenant inquiries
Process service requests received by telephone, email and personal visit and maintain the database
Developing, implementing, and maintaining an effective scheduling management system
Utilize analytical skills, and critical thinking to resolve scheduling problems and/or issues
Verify resource requirements and availability before scheduling work
PO execution, distribution and tracking
Prepare necessary invoices, reports, minutes, letters and notices
Maintain filing for tenants and properties according to the standard record keeping procedures on a daily basis
Assist with annual inspections (HVAC, fire, etc)
Assist the Property Management Team with contract renewals as required
Provide updated daily vacancy reports and monthly turnover reports
Provide updated delinquency reports
Work collaboratively with facility operations team in coordinating move-in and move-out condition reports and completing necessary paperwork
Prepare welcome packages for new tenants
Responsible for administering moveout damages/security deposits and charges
Prepare and provide tenant statements of account and reports as required
Contribute in the preparation of documents related to claims for non compliance
Assist with tenant events, promotion activities as required
Attend daily/weekly/monthly meetings with Facilities Manager and other positions as needed
Maintain inventory and order office supplies
Provide feedback on process improvements
Perform other related duties and special projects as assigned
Qualifications:
2-3 years of administrative experience
Experience in the residential property management field would be considered an asset
Experience and knowledge of the Residential Tenancies Act, Policies and Guidelines would be considered an asset
Strong communication skills, both oral and written
Ability to develop and sustain cooperative working relationships; team player
Effective time management, able to work under pressure and meet tight deadlines
High attention to detail; strong organizational skills
Intermediate to advanced skills in Excel, Word, and other Microsoft Office program
Tenant Statement of Accounts experience would be a strong asset
Yardi experience would be considered an asset
· Knowledge of building systems would be considered an asset
Must provide a clean criminal record check
